OXFORD SCHOOL OF BUSINESS MANAGEMENT REFUND POLICY (ALL STUDENTS)

This Refund Policy applies to any individual who receives an offer (whether conditional or unconditional) from OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD on or after Wednesday 14th August 2024.
1. Introduction
This Refund Policy outlines the formal relationship between OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD and the student regarding the provision of the Course. It provides you with all the necessary information for requesting and obtaining a refund of your Course Fees.

This Refund Policy should be read alongside the OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD student terms and conditions that apply to you ("Terms and Conditions"). In the event of a conflict between this Refund Policy and the Terms and Conditions, this Refund Policy shall prevail. Should there be any conflict between this Refund Policy and any other policy, standard, or procedure of OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD (excluding the Terms and Conditions), this Refund Policy shall take precedence.

This Refund Policy does not affect your statutory rights.

All refund queries (except for complaints, which should be addressed through our complaints procedure) should be directed to our finance department via email at admin@oxfordbs.co.uk.
2. Definitions
  • Administration Fee: Refers to the fee applicable to students, which is €250.00 for all students.
  • Applicant: For the purposes of this Refund Policy, an Applicant is an individual who has accepted an offer (whether conditional or unconditional) from OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD to study a Course or has paid their holding fee but has not yet enrolled. The terms "you," "your," and "yourself" in this Refund Policy should be interpreted accordingly.
  • OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD: Refers to OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD, a private limited company registered in England and Wales. The terms "Oxford School of Business Management",
  • "we," "us," "our," and "ourselves" in this Refund Policy should be interpreted accordingly. The company registration number is 15815229, with its registered office located at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom.
  • Cancellation Date: This is defined as the 14th day beginning on the first day of the first week of teaching (as stated in our academic calendar) for the intake you are attending. The first day under this definition is the first day of the first week of teaching for all students in the relevant intake, as stated in our academic calendar.
  • Contract: The agreement between us and you for the provision of a Course. The Contract begins on the day you accept an offer from us (whether conditional or unconditional) in accordance with the Terms and Conditions or on the day you pay your holding fee for your Course, whichever occurs first.
  • Course: A course of study or research provided by us, whether attended at a study center, online, or through a combination of both.
  • Course Fees: The fees applicable to an individual Course, as detailed on the Website, including the holding fee.
  • Enrolment: The process of formally completing all application requirements (including milestones) and registering your participation in a Course. The terms "Enroll" and "Enrolment" should be interpreted accordingly.
  • Student: For the purposes of this Refund Policy, a Student is an individual who has a Contract with us and has been Enrolled. The terms "you," "your," and "yourself" in this Refund Policy should be interpreted accordingly.
  • Unconditional Offer: An unconditional offer from OXFORD SCHOOL OF BUSINESS MANAGEMENT LTD to study a Course.
  • Website: Refers to the official website www.oxfordbs.co.uk.
3. Eligibility
3.1. Cancellation Before the Cancellation Date: Unless we notify you otherwise, you are entitled to cancel your Contract with us on or before the Cancellation Date by:

3.1.1. Applicants: Sending an email to admin@oxfordbs.co.uk to request a refund if you are an Applicant.
3.1.2. Students: Completing and sending your withdrawal form (indicating on the form that you want a refund) to student support using the relevant study center email address, which can be found on iLearn, if you are a Student.

3.2. Cancellation After the Cancellation Date: You may cancel your Contract after the Cancellation Date, but you will not be entitled to any refund unless the circumstances described under clause 9 apply.

3.3. Deferral or Transfer: Your Cancellation Date for your intake will remain unchanged for any reason, even if you defer to another intake or transfer to another Course.

3.4. Sponsored Applicants or Students: If an Applicant or Student sponsored by an official third party cancels their Contract, they must provide a letter from the sponsor requesting a refund on the sponsor’s letterhead. If approved, the refund will be issued to the sponsor, not the Applicant/Student.

3.5. Self-Funded or Postgraduate Loan-Funded Students: For postgraduate Applicants or Students who are self-funded or funded through a postgraduate loan, clauses 3.1 to 3.3 shall apply.
4. Refund
4.1. Full Refund Eligibility: If clause 3.1 applies, the Applicant/Student will be entitled to a full (100%) refund of all Course Fees paid up to the date of cancellation. If clause 8.1 apply, no refund will be provided.

4.2. Refund Process: Upon receiving your cancellation request (as per clause 3.1), it will be forwarded to our registry team. After approval from the registry team, your refund request will be processed by our finance department.

4.3. Refund Timeline: Once the finance department receives your cancellation request, your refund will be processed within 4 weeks, provided you submit all necessary documentation required for the refund.

4.4. Discretionary Refunds: For refunds under clause 9, the Director of Finance (or nominee) will have the discretion to grant or deny a refund, including determining the refund amount. Any refunds granted will exclude the Administration Fee and will be processed within 4 weeks from the date of confirmation.

4.5. Refund Conditions:

4.5.1. Refunds will generally be made to the bank account from which the original Course Fees were paid unless there are exceptional circumstances.
4.5.2. We may perform due diligence on the bank account or individuals involved, which could include requesting additional documentation.
4.5.3. If we are not satisfied with the legitimacy of the bank account or beneficiary, we reserve the right to withhold the refund.
5. Deferral of Intake
5.1. Course Fee Transfer: If you are permitted to defer to another intake, any Course Fees already paid will be transferred to the new intake. If you subsequently cancel your Contract, clause 3 will apply.
6. Transfer
6.1. Liability Assessment: If you transfer to another Course, our finance department will assess your financial liability for both your current Course and the new Course. If you cancel your Contract afterward, clause 3 will apply.
7. Leave of Absence
7.1. Course Fees During Absence: If you are granted a leave of absence, any Course Fees already paid will remain in your Oxford School of Business Management student account until your return. If you cancel your Contract afterward, clause 3 will apply.
8. Application
8.1. Dishonesty in Application: If any part of your application to study at Oxford School of Business Management or subsequent information provided is found to be dishonest, deceptive, or fraudulent, you will not be entitled to a refund.
9. Withdrawal due to Mitigating Circumstances
9.1. Refund Request Due to Mitigating Circumstances: If you need to cancel your Contract after the Cancellation Date due to mitigating circumstances, you may request a full refund (less the Administration Fee) of all Course Fees paid. This request should be submitted by email to admin@oxfordbs.co.uk.

9.2. Examples of Mitigating Circumstances: Below is a table with examples of acceptable and unacceptable mitigating circumstances. Supporting evidence, such as death certificates or official medical documentation, will be required.
* "Recent" means the event occurred less than one month before your refund request to the Director of Finance.
10. Termination by Oxford School of Business Management under Terms and Conditions
If Oxford School of Business Management terminates your Contract according to the Terms and Conditions, we reserve the right to withhold any refunds unless otherwise stated in the Terms and Conditions.
